01 / Why
Why Copilot training, if it's already in Office?
Because a button in Word isn't a new way of working. Copilot sits in the apps your team opens every day, and that's exactly why it often gets skipped. People try it once, get a generic summary and go back to their old routine.
In a Copilot training, your team learns app by app what Copilot does well, on its own work: the inbox after a week's holiday, this morning's meeting, the quote that has to go out tomorrow. And you learn the question that makes the difference: what information does Copilot need to give a good answer?
Who it's for: every team that works in Microsoft 365 and has Copilot, or is considering it. Organizations that have just bought the licences gain a lot from it, because they set the right habits from the start.
01Teams that just got Copilot
Set the right habits straight away, before everyone finds their own way.
02Teams with licences that are hardly used
You pay per user per month. Then it should be used.
03IT and administration
Permissions, sensitive documents and what's switched on. That's where a safe rollout starts.
04Leadership and management
Does everyone need a full licence, or just a few roles?
02 / Licences
Copilot Chat or Microsoft 365 Copilot: what do you need?
Two Copilots, two very different things. Copilot Chat is an AI chat you can use with a work account at no extra cost. Microsoft 365 Copilot is a separate licence per user that knows your own email, calendar, chats and documents. For organizations with up to 300 users, that version is called Microsoft 365 Copilot Business.

03 / What you learn
What you learn in a Copilot workshop, app by app.
Half a day of three to four hours, everyone on their own laptop, logged in with their own work account. We go app by app, and finish with your own Copilot agent for a task you do every week.
Outlook
The inbox under control
Summarizing long email threads, having a reply drafted in the right tone and getting through your email after a week's holiday in ten minutes.
Teams
Meetings that take their own minutes
Summaries, decisions and action items per person. Plus the question 'what did I miss?' when you join later.
Word
A first draft from existing work
Drafting a report, quote or policy document based on documents that already exist. You finish it.
Excel
Asking your data questions
Having formulas written, unusual rows found and an export summarized. And checking that it's right.
PowerPoint
From document to presentation
A draft from a Word document or a short briefing. Then the real work: cutting until there's a story.
Copilot Chat and agents
Your own Copilot agent
An agent that knows your way of working and your documents, for a fixed task. What's possible with Copilot Chat, and what needs a licence or Azure?
04 / Permissions and data
Does Copilot see everything on SharePoint?
Copilot sees everything the user is allowed to see. No more, but no less either. In its guidance on SharePoint and Copilot, Microsoft writes that Copilot uses all data a person has at least read access to, including widely shared files they don't know exist.
That's exactly where things go wrong in practice. That folder with salary data that was once opened up to 'everyone in the organization' used to be impossible to find. With Copilot, it shows up in an answer. So Copilot doesn't open new doors, but it does reveal what was already shared too widely.
That's why, during preparation, we go through the basics with your IT team:
- Which sites and folders are shared with the whole organization, and should they be?
- Are sensitive documents behind the right permissions or labels?
- Can Copilot search the web, and how do you feel about that?
- Who gets a full licence, and who starts with Copilot Chat?
Good to know: conversations with Copilot Chat on a work account fall under enterprise data protection and aren't used to train the models. According to Microsoft, Copilot Chat also falls within the EU Data Boundary (Microsoft, Copilot FAQ, 2026). How to put your ground rules on paper is explained in writing an AI policy.
01Permissions first
Copilot follows the user's permissions. Whatever is shared too widely comes to the surface.
02Sensitive documents
Salaries, medical records, HR files: check where they're stored and who can access them.
03Licences per role
Not everyone needs a full licence. Start where the bulk of the email and documents is.
04Agreements on paper
What can Copilot use, and what does a human check? Write it down.
05 / In daily work
What a working day with Copilot looks like.
Examples we practise in almost every Copilot workshop. Copilot does the typing, a human decides.
Back from holiday
Without Copilot
A whole morning reading 300 emails to understand what's going on.
With Copilot
A summary per topic, with what's expected of you. You choose what comes first.
The weekly meeting
Without Copilot
Someone takes minutes, and the action items only go round three days later.
With Copilot
Decisions and action items straight after the meeting, ready to check and send.
A quote or report
Without Copilot
Finding an old version, copying it and adjusting everything by hand.
With Copilot
A first draft based on earlier documents. The account manager finishes it.
An Excel export
Without Copilot
Filtering, pivot tables and hunting for what stands out.
With Copilot
Asking questions in plain language, and checking that the outcome is right.
That one document
Without Copilot
'Just ask Pete, he knows where it is.'
With Copilot
Copilot finds it, if you have access to it. Pete can get on with his work.
A presentation
Without Copilot
From a blank screen to twenty slides, on a Friday afternoon.
With Copilot
A draft from the underlying document. You cut until there's a story.

Honest advice
Copilot makes every employee faster. Automating a process is a different step.
Copilot helps with email, meetings and documents. Orders that have to go from an email into the ERP, or invoices that need matching, call for a workflow connected to your systems. We build those in the AI Partnership, after the € 6,000 AI Quick Scan.
07 / Questions
Frequently asked questions about Copilot training.
What does Microsoft 365 Copilot training cost?
At NinA AI, a hands-on Copilot workshop costs € 4,500 per half day, excluding VAT, for ideally 6 to 15 participants. A talk for a large group costs € 2,450. Preparation with your IT team and travel within the Netherlands are included. You buy the Copilot licences themselves from Microsoft or your licensing partner.
What's the difference between Copilot Chat and Microsoft 365 Copilot?
Copilot Chat is an AI chat that users with a work account and an eligible Microsoft 365 subscription can use at no extra cost, with information from the web and files you add yourself. Microsoft 365 Copilot is a separate licence per user that also knows your email, calendar, chats and documents, and works with your work data in Outlook, Teams, Word, Excel and PowerPoint.
Which licence do we need for the Copilot workshop?
For the part on Outlook, Teams, Word and Excel with your own work data, you need a Microsoft 365 Copilot licence. If not everyone has one, participants without a licence work with Copilot Chat and watch along for the rest. That way you see straight away whether the licence is worth it for their role.
Is Microsoft 365 Copilot safe for our company data?
Conversations on a work account fall under enterprise data protection and aren't used to train the models. Copilot only sees what the user is allowed to see. The risk is in files that are shared too widely: with Copilot, they suddenly become findable. So review the permissions in SharePoint and OneDrive before the rollout.
What do employees learn in a Copilot workshop?
App by app, what Copilot does well: summarizing and answering email in Outlook, summarizing meetings in Teams, a first draft in Word, querying data in Excel and a draft in PowerPoint. Plus good prompting, checking output, agreements on sensitive information and their own Copilot agent for a fixed task.
Can we create Copilot agents in the workshop?
Yes. Everyone builds a simple agent for a task that comes back every week, with your own instructions and documents. Note: some agents in Copilot Chat are billed per use through an Azure subscription. Agents that work independently in your ERP or CRM are something we build in the AI Partnership.
Copilot or ChatGPT: which suits us?
If your organization works entirely in Microsoft 365, Copilot connects most easily to email, Teams and files, within your existing IT administration. ChatGPT is broadly applicable and strong in custom GPTs. Many organizations use both. Our comparison of ChatGPT, Copilot and Claude helps you choose.
Does Copilot training count towards AI literacy?
Yes. Training on the tool your people use every day is a good measure for the AI literacy that Article 4 of the AI Act asks for. Record who attended and what was covered; according to the European Commission, a certificate isn't mandatory. This is an explanation, not legal advice.
