01 / About NinA

About NinA AI.

What does NinA AI Agency do?

NinA AI Agency is an AI agency from Amsterdam that helps organizations actually use AI in their work. We do three things: knowledge (talks and workshops), advice (the AI Quick Scan and a roadmap) and building (workflows and AI agents in your own systems). Our main product is the AI Partnership: a dedicated team that builds, trains and shows what it delivers, for a minimum of twelve months. We have helped more than 160 organizations so far.

Where is NinA AI based and who is behind it?

NinA AI is based at Johan Huizingalaan 763A in Amsterdam and was founded in 2024 by Olaf Lemmens, AI speaker and LinkedIn creator. The team consists of more than ten AI specialists: consultants, developers, project management and business development. We are registered with the Netherlands Chamber of Commerce (KVK) under number 93390688. Read more about the team on about NinA.

Which organizations does NinA work with?

We have worked with Schiphol Group, ASML, the Dutch Police, Action, Boskalis, the Municipality of Lelystad, KplusV, DA Drogist, De Baak, EasyToys and KernBouw, among others: from large organizations to fast-growing SMEs. Results from practice, such as 132 hours a month saved at EasyToys, are in our cases.

What makes NinA different from other AI agencies?

With us, advice, building and training sit in one dedicated team. The consultant who maps out your process works alongside the developer who builds it and the trainer who brings your people along. We work with the APO method: first calculate what AI delivers, only then build. We only start if the savings in the first year are at least twice the investment, there is always a human in the loop and there is no lock-in.

Does NinA only work in Amsterdam?

No. Our office is in Amsterdam, but we work throughout the Netherlands. For the AI Quick Scan, talks and workshops, travel costs within the Netherlands are included. A talk can also be given online.

02 / Pricing and terms

What it costs, and how it works.

What does AI cost for my business?

That depends on how far you want to go. At NinA, a talk costs € 2,450 and a workshop € 4,500 per half day. The AI Quick Scan, in which we calculate what AI delivers for you, costs € 6,000. A dedicated team that builds and trains in the AI Partnership costs € 4,500, € 7,500 or € 12,000 per month. All amounts exclude VAT. On top of that come licences and AI usage; everything is listed on our pricing page.

What does an AI Partnership cost?

Package S costs € 4,500 per month (30 hours, one process at a time), package M € 7,500 per month (50 hours, two processes) and package L € 12,000 per month (80 hours, four processes). Every partnership starts with the € 6,000 AI Quick Scan. That puts the first-year investment at € 60,000, € 96,000 or € 150,000, excluding VAT. More on the AI Partnership.

What is NinA's hourly rate?

We have one rate of € 150 per hour, excluding VAT, for both consultancy and development. In the AI Partnership you buy a fixed number of hours per month at that rate: 30, 50 or 80. If demand grows, you can add extra hours at the same rate.

How long does a partnership run and how is it invoiced?

An AI Partnership runs for a minimum of twelve months, then continues on a rolling basis with two months' notice. We invoice quarterly in advance. The AI Quick Scan is invoiced once you give the go-ahead. Talks and workshops are invoiced in advance. All amounts exclude VAT.

How does NinA's guarantee work?

In the AI Quick Scan, we calculate what AI delivers for each opportunity, based on the expected scenario. If the savings in the first year are not at least twice the investment, we don't start a partnership. Instead, we advise a smaller package, a different process or nothing at all. How to calculate a business case like this is explained in making an AI business case.

What do hosting and maintenance cost for what you build?

Whatever goes live runs under a maintenance contract: Bronze € 245, Silver € 445 or Gold € 895 per month, including AI usage and invoiced annually in advance. Bronze runs on your own servers. With Silver and Gold, we host it in the EU, on servers in Germany, with automatic monitoring around the clock. All amounts exclude VAT.

Can I have a single AI solution built on its own?

No, we only build within the AI Partnership. One-off builds too often stall after delivery: nobody manages, improves or extends them, and a few months later they have ground to a halt. A partnership comes with a dedicated team, a roadmap, fixed capacity, and hosting and maintenance. Talks, workshops and the Quick Scan can be booked on their own.

03 / Knowledge and training

Talks, workshops and AI literacy.

What does an AI workshop or AI talk by NinA cost?

A talk or keynote costs € 2,450. A hands-on workshop costs € 4,500 per half day: about three to four hours, ideal for 6 to 15 participants. Travel within the Netherlands is included, and talks and workshops are invoiced in advance. All amounts exclude VAT. More on AI training.

What do employees learn in an AI workshop?

Good prompting on their own tasks, handling company data safely, which tasks are and aren't suited to AI, and concrete applications for each role. We work with your own examples, such as quotes, customer emails and reports, so people save time that very same week. 'Our whole team walked out with concrete ideas that we started using that same week,' said Judi van den Berg of DA Drogist after a workshop.

Do you offer training in ChatGPT, Copilot or Claude?

Yes, in whichever tool your organization uses. Training in ChatGPT, Microsoft Copilot or Claude comes down to the same thing: better work in less time, safely with your data. See AI training for the options. Still unsure which tool fits? Read ChatGPT, Copilot or Claude.

Does a workshop count towards AI literacy under the AI Act?

Training on the tools and tasks your people actually use is a very concrete way to work on AI literacy. Since 2 February 2025, Article 4 of the EU AI Act has asked organizations that use AI to work on this. The law doesn't prescribe a fixed format and a certificate isn't mandatory. Do keep a record of who received which training. More on AI literacy. This is not legal advice.

What does NinA offer for free?

We share knowledge for free: the knowledge base, the glossary, our benchmarks, the blog and the freebies with prompts and n8n workflows. The self-assessment on the site and the newsletter are free too, as is a fifteen-minute intro call. Talks, workshops, the Quick Scan and the partnership are paid.

04 / Quick Scan and partnership

How we start, and how it continues.

What is the AI Quick Scan?

The AI Quick Scan is one day on site with you: conversations with management and the team, interviews on the shop floor and processes observed live. Within a week you receive a baseline of your AI maturity on seven dimensions, a business case per opportunity, an impact-effort matrix and a twelve-month roadmap, with a package recommendation. The Quick Scan costs € 6,000, excluding VAT. More on the AI Quick Scan.

What is the difference between the free self-assessment and the AI Quick Scan?

The free self-assessment on the site consists of seven questions and gives an indication of your AI maturity in two minutes. The AI Quick Scan is a day on site with interviews, process analysis and a business case in euros, for € 6,000. The self-assessment gives you a direction, the Quick Scan a decision.

Do we have to sign up for a partnership after the Quick Scan?

No. The Quick Scan can also be booked on its own, and the outcome is yours, even if you don't continue with us afterwards. It is, however, the fixed starting point of every AI Partnership: we never build without first knowing what it delivers. If you choose the partnership, the Quick Scan counts towards the first-year investment.

What does an AI Partnership include?

A dedicated team of AI consultants and developers that gets to know your processes. The team builds workflows and AI agents in your own systems, runs workshops so your people can work with AI themselves, and keeps everything running through hosting and maintenance. Every month you see what it has delivered, in hours and euros. The partnership runs for a minimum of twelve months.

Which package suits us?

That follows from the Quick Scan. Package S (30 hours per month) suits you if you want to start with one process at a time. Package M (50 hours) works on two processes at once, with workshops for your team, and is what we recommend for most organizations. Package L (80 hours) tackles four processes at once, across the whole organization. If the business case doesn't show twice the investment, we advise a smaller package or nothing at all.

What happens to hours we don't use in a given month?

The hours can be used flexibly, and we schedule them in advance on the roadmap. So a month with a workshop or a big delivery can take more hours than a quiet month. If demand grows structurally, we advise a larger package or extra hours at the same rate of € 150 per hour.

05 / Building and technology

Workflows, agents and integrations.

What exactly does NinA build?

Workflows that move work along automatically, AI agents that carry out tasks in your systems, integrations between systems and, where needed, custom software. Examples: getting orders and requests from emails into the ERP, preparing answers to customer questions, writing product copy and processing invoices. At Van Berkel Professionals, request handling saved 192 hours a month. More examples in AI agents in practice and in our cases.

Which systems can you connect to?

Most systems that have an API, including the Dutch packages Exact and AFAS, SAP, Microsoft Dynamics, Salesforce, HubSpot, Microsoft 365, Google Workspace, Shopify, and warehouse and transport systems. n8n often sits in between for the integrations. If a system has no API, it's harder, but usually not impossible.

How long before something is up and running?

From go-ahead to the outcome of the Quick Scan takes about three weeks. In the AI Partnership, the first workflow or agent usually goes into production in the first quarter. After that, the processes on the roadmap follow one by one, so every quarter you can see what's running and what it delivers.

Do you work with n8n?

Yes, n8n is our standard for workflows and AI agents. It charges per execution of the whole workflow, we can choose the AI model for each task, and it runs wherever you want, including in the EU. Why we choose n8n over Make and Zapier is explained in n8n, Make or Zapier.

We've built something with AI ourselves. Can you make it production-ready?

Often, yes. As an option with the Quick Scan, one of our developers checks your prototype: is it secure, and can it go live as it is? The gap is usually in security, error handling, integrations and management. We make it production-ready within the partnership. Also read from vibe coding to production.

06 / Security and data

Your data, your rules.

Where is our data stored when NinA builds something?

In the EU: on your own infrastructure or on servers with a European provider. Where needed, we use AI models via Azure OpenAI in a European region. We agree in advance which data goes where, and put it in writing.

Is NinA ISO 27001 certified?

We work in line with ISO 27001, the standard for information security, and NEN 7510, the Dutch standard for information security in healthcare. Certification is in preparation. Feel free to ask about our way of working if you need it for a supplier assessment.

Is AI trained on our company data?

Not if you set it up properly. The business versions of ChatGPT, Claude and Microsoft Copilot don't use your data to train models by default, and we build with business agreements. Free and personal accounts are a different story; never use them for company data. More in using ChatGPT safely under the GDPR.

Who owns what NinA builds?

You do. Code, data and documentation are the client's property, and you take them with you within 30 days if the collaboration ends. There is no lock-in: you can carry on independently or with another party.

Is there always a human in the loop?

Yes. None of the workflows we build is pure AI. The AI takes away the retyping, searching and preparation; an employee does the final check where it matters, such as before something goes to a customer. The more trust there is, based on the numbers, the bigger the steps AI may take on its own. See human in the loop.

What are the main risks of AI in your business?

Data leaking to a tool without proper agreements, answers that are wrong but sound convincing, an AI with too much access to your systems, attacks through the input (prompt injection) and shadow AI. There is a measure for every risk: business tools with a data processing agreement, as few permissions as possible, a person who approves and a log. Read using AI safely.

07 / AI in general

Where do you start, and what does it deliver?

How do you get started with AI in your business?

Pick one process with a lot of manual work and a measurable outcome, measure how much time it takes now, check whether the data is available and secure, test with a human in the loop and only then scale up. Train your people at the same time. That is the core of our APO method: first the process, then the technology. The full step-by-step plan is on AI implementation.

What is generative AI?

AI that creates something new: a text, a summary, an image or code. ChatGPT, Claude, Gemini and Copilot all work this way. The difference with traditional AI: traditional AI predicts or classifies, generative AI creates. An explanation with examples for businesses is in what is generative AI?

What is an AI agent?

An AI agent is software that is given a goal and carries out the steps to reach it by itself, with access to your systems. For example, it reads an email, looks up the order in the ERP and prepares a reply. A chatbot talks, an agent acts. Read what is an AI agent.

ChatGPT, Copilot or Claude: which one suits my business?

If your team works in Microsoft 365 all day, Copilot is the obvious fit. ChatGPT is the broadest all-rounder and Claude is strong at writing, long documents and independent work. Choose based on data agreements, integrations and how the tool scores on your own tasks. See ChatGPT, Copilot or Claude and our benchmarks.

Does the AI Act also apply to SMEs?

Yes. There is no general exemption for SMEs. Since 2 February 2025, the EU AI Act has asked, among other things, that organizations using AI work on AI literacy. Which other rules apply depends on what you do with AI and how high the risk is. Read the EU AI Act for SMEs. This is not legal advice.

Will AI replace jobs in my business?

AI mainly takes over tasks, not entire jobs. It takes away retyping, searching and preparation, so people have time for advice, customer contact and their craft. The organizations we help usually use that time to grow without hiring extra people. At Wens Chalets, employee happiness rose from 7 to 9 out of 10.

How do I get my team on board with AI?

Start with the work and ask the people who do it where time leaks away. Choose one process together, train on real tasks, appoint a champion in each team, agree on house rules and measure against a baseline. And have the honest conversation about what AI will and won't do. The six steps are in AI adoption.

Which processes are a good fit for AI?

Processes with high volume, digital input (email, PDF, forms), rules with exceptions and an outcome you can check. Think of order entry, invoice processing, customer questions, quotes, reports and looking up knowledge. Less suitable: work that rarely occurs, work where the data is missing and work where personal liability is at the core. Test a task with the seven questions.

How many Dutch companies use AI?

According to Statistics Netherlands (CBS), 33 percent of companies with 10 or more persons employed used one or more AI technologies in 2025. Among large companies it's two in three, among micro businesses one in seven. More figures, each with its source, are in AI in the Netherlands in numbers.

Are there subsidies for AI in SMEs?

There is no national Dutch subsidy for implementing existing AI tools or for hiring an AI agency to do so. Schemes such as the WBSO (a tax scheme for R&D work), the MIT scheme and the Innovatiekrediet (Innovation Credit) are meant for your own development work and innovation projects. Through SLIM, a training plan may qualify, but not the training itself. See AI subsidies in the Netherlands.
