01 / What it is

What does AI do for a marketing agency?

In a marketing or communication agency, AI takes over the production work: the twentieth variant of an ad, the translation of forty posts, the monthly report for every client, the content calendar and the notes from the briefing. The idea, the strategy and the taste stay with the agency. That's what clients come for, and AI isn't better at it.

What AI does do is make room. In most agencies, a good part of the week goes to work that doesn't require creative thinking but still has to be done: pasting screenshots into a deck, pulling figures from five dashboards, putting the same message into four formats. Nobody joined an agency to do that.

At a marketing agency, we built an AI content assistant and automated the planning and the client reports with n8n. Content production became 50 percent faster and reporting takes 30 hours a month less. Hours that can go back to clients and ideas.

  • 01Content and variants

First drafts, formats and variants in each client's voice.

  • 02Translation

The same message in several languages, ready for a native speaker to check.

  • 03Client reports

Figures gathered, charts made, a first interpretation. The account manager tells the story.

  • 04Planning and meeting notes

Content calendar, briefings and meeting notes in order, without giving up your Friday afternoon.

02 / Honest

What doesn't AI do in an agency?

AI doesn't come up with the idea, doesn't choose the strategy and has no taste. It doesn't know the client the way you do, and it doesn't know what was said between the lines in the last meeting. That's why we divide the work like this: AI makes, the agency chooses. Here's what that looks like, task by task.

AIThe agency
The idea and the conceptAt most a sparring partnerComes up with and chooses the idea
The strategy·Sets the direction, together with the client
Taste and final editing·Decides what's good enough
First draft of the copyWrites in the client's voiceSharpens and approves
Variants and formatsMakes them, in every formatPicks the one that works
TranslationsTranslates in the brand's toneHas a native speaker check them

The client relationship·Entirely

Taste can't be automated. But a lot of the work you need to get through to have time for it can.

03 / Sound familiar?

Friday afternoon at the agency.

The fun part is the idea. The work that eats up the hours is everything that comes after it.

  1. The monthly report

“Fourteen clients, fourteen dashboards, and a whole week of pasting screenshots into a deck.”

  2. Twenty variants

“The concept has been approved. Now for twenty formats, three lengths and two target audiences.”

  3. The briefing

“The briefing is spread across three emails, a voicemail and a remark by the coffee machine.”

  4. Four languages

“The campaign also needs to go out in German, French and English. The translation agency delivers in two weeks.”

  5. The content calendar

“The calendar runs three weeks ahead. Except for the client with the most posts.”

  6. Logging hours

“Which client did I log Tuesday's hours to? No idea, I spent the whole day on reports.”

04 / Applications

Six applications of AI in a marketing or communication agency.

For each application: which systems we connect to, who approves and what it delivers. The figures come from cases; where we don't have a measured figure, we describe what changes. What it delivers for you, we calculate in the AI Quick Scan.

    • Systems: Microsoft 365 or Google Workspace, your project tool
    • Who approves: the project lead or account manager
    • Delivers: less 'what did we agree again?'
  • Proposals

    Proposals and pitches

A first draft of the proposal in your format, with the client information from the CRM and relevant cases from earlier work. The last mile and the price are yours.

    • Who approves: the account manager or partner
    • Delivers: at another of our clients, sales proposals went from 4 hours to 1 hour

05 / Before and after

A month at the agency, before and after.

Six jobs that come back every month. Where there's a measured client result, it's included; for the others we describe what changes.

  • Marketing agency: 30 hours a month

    The monthly report

    Before

Pulling figures from five dashboards per client, pasting screenshots into a deck, writing a summary.

The report is ready with figures, charts and a first interpretation. The account manager tells the story.

  • Marketing agency: 50% faster

    Before

Every post from a blank page, all over again for each platform.

    With AI

First drafts per platform in the client's voice. The content marketer chooses and sharpens.

  • A campaign in four languages

    Before

Waiting for the translation agency, and then adjusting the tone anyway.

    With AI

Translations in the brand's tone, ready for a native speaker to check.

  • The briefing

    Before

Reconstructing a briefing from three emails and a voicemail.

    With AI

Meeting notes and a first briefing straight after the meeting, with the agreements in them.

  • Sales proposal: 4 hours → 1 hour

    The proposal

    Before

Copying and pasting from old proposals, and hoping there's no old client name left in it.

    With AI

A first draft in your format with the right client details. The account manager writes the rest.

  • The content calendar

    Before

Keeping the calendar up to date by hand and chasing clients for input.

    With AI

Proposals in the calendar and a reminder when the client's input is missing.

AI makes the twentieth variant. The first idea comes from you.

The more production work AI takes over, the more time is left for the work clients come to an agency for.

07 / Do the maths yourself

What does AI deliver for your agency?

Three numbers: how many people work on production, reporting and planning, how many hours of repetitive work they have per week, and what an hour costs. Then you see what's freed up for new clients or better work.

08 / What to watch for

Six pitfalls for agencies, and how we avoid them.

  • Every client sounds the same

An assistant without brand rules writes the same copy for everyone. That's why every client gets their own profile with voice, examples and words that aren't allowed.

  • Outsourcing the idea

If you let AI come up with the concept, you get the average of what already exists. The idea stays human work.

  • Claims that aren't true

AI sometimes makes up a figure or a promise. A human reads everything that goes out.

  • Client data in stand-alone tools

Client data doesn't belong in a free chatbot. We build on business environments and the data stays in the EU. Also read ChatGPT and the GDPR.

  • Clients who find out later

Tell clients in advance how you use AI and who checks the work. That prevents an awkward conversation afterwards.

  • Building what you can buy

Does your tool already have a good AI feature? Use it. We build where off-the-shelf stops, usually between systems.

10 / Questions

Frequently asked questions about AI for marketing and communication agencies.

What can AI do for a marketing agency?

In a marketing or communication agency, AI can prepare client reports, write first drafts and variants of content in each client's voice, translate content, fill the content calendar and write up meeting notes and briefings. The idea, the strategy and the taste stay with the agency. At a marketing agency, this made content production 50 percent faster.

Does AI take over the creative work?

No. AI is good at varying, translating, summarizing and gathering. It isn't good at the one idea that carries a campaign, and it doesn't know the client the way you do. If you let AI come up with the concept, you get the average of what already exists. We use AI for the production work, so more time is left for the idea.

Can AI create client reports automatically?

Largely. AI pulls the figures from the advertising and analytics accounts, makes the charts and writes a first interpretation. The account manager tells the story, gives the advice and approves before it goes to the client. At a marketing agency, that saved 30 hours a month.

How do you make sure AI writes in each client's voice?

By creating a profile per client: the tone, examples of approved copy, target audiences and words that aren't allowed. The better the examples, the better the first draft. Without examples, we assume at most 40 percent reliability, and we say so in advance.

Can we use client data in AI tools?

Not just like that in a free chatbot. We build on business environments with agreements on storage and use, and the data stays in the EU. Also agree with your clients how you use AI. What is and isn't allowed with personal data, you can read in ChatGPT and the GDPR; if in doubt, have a lawyer take a look.

Which tools do you connect to?

To what you already use: Google Workspace or Microsoft 365, a CRM such as HubSpot or Salesforce, your planning or project tool, and your clients' advertising and analytics accounts. We usually build in n8n, with custom work where needed. The condition is API access with the right permissions.

Is AI also worth it for a small agency?

That depends on the volume. A partnership with NinA AI starts at € 4,500 per month and has to earn itself back at least twice in the first year. For a small team with a few clients, that usually doesn't pay off. In that case, start with an on-site workshop for the whole team (€ 4,500 per half day), so everyone works smarter with ChatGPT, Copilot or Claude.

What does AI cost for a marketing agency?

You start with the € 6,000 AI Quick Scan. After that, the AI Partnership runs on package S (€ 4,500 per month, 30 hours), M (€ 7,500 per month, 50 hours) or L (€ 12,000 per month, 80 hours), for a minimum of twelve months. We only start if the partnership earns itself back at least twice in the first year. All amounts excluding VAT.
