01 / Who it's for

Who is ChatGPT training for?

For every team that already has ChatGPT, or soon will, and notices it never gets past one-off questions. The pattern is almost always the same: two colleagues get a lot out of it, the rest try it once, get a generic answer and go back to the old way.

That's rarely down to the tool. It's down to how you use it. Treat ChatGPT like a search bar and you get search-bar answers. Give it context, examples and a clear role, and you get a first draft you can work with.

In a ChatGPT training, your team learns that difference on its own work. No made-up exercises about a fictional bakery, but yesterday's customer email, the quote that has to go out tomorrow and the report that's been waiting for a week.

  • 01Teams with ChatGPT Business or Enterprise

The licences are there, but usage stays with a few people.

  • 02Organizations where everyone has their own account

Then the training is also the moment to move to a business workspace.

  • 03Departments with lots of text and documents

Customer service, sales, marketing, HR, finance and legal.

  • 04Leadership and management

What can it do, what does it cost, and which ground rules do we agree on?

02 / What you learn

What you learn in a ChatGPT workshop.

Half a day of three to four hours, with a laptop per person. We alternate short explanations with plenty of hands-on work. By the end, everyone has something that works, and your team knows where the line is.

  • Prompting on your own work

Context, examples, a role and a clear format. Why 'write an email' gets you a mediocre answer, and how two sentences get you a good one.

  • Building your own GPTs

A GPT with your house style, product information and standard way of working. Everyone gets the same good answer, including the colleague who just started.

  • Projects and documents

Everything about one client or one project in one place: files, instructions and earlier conversations. Plus summarizing PDFs and having an Excel file analyzed.

  • Research with sources

Having it search the web and carry out more in-depth research. And checking the sources, because that's still your job.

  • Checking the output

Where ChatGPT is strong, where it makes things up with great confidence, and how to spot that quickly. A human decides what goes out.

  • Working safely

What can and can't go in, which settings your administrator switches on, and what to do if it goes wrong anyway.

03 / Licences

Which ChatGPT licence does your business need?

For the training, and certainly for daily work with company data, you want a business environment. Since August 2025, ChatGPT Team has been called ChatGPT Business; only the name changed. Prices per user change regularly, so we check them together on OpenAI's website during preparation.

04 / Data agreements

What can and can't go into ChatGPT?

With a business workspace and clear agreements, a lot is possible, but not everything. The biggest risk is rarely the technology. It's the colleague who quickly pastes a customer list into a personal account. In August 2024, the Dutch Data Protection Authority (Autoriteit Persoonsgegevens) warned about data breaches caused by employees entering personal data into AI chatbots, such as patient data at a GP practice and customer addresses at a telecom company.

These are the agreements we go through with the team in almost every workshop:

  • Always work in the business workspace, never in a personal account
  • No sensitive personal data, such as health data or citizen service numbers (BSN), unless that has been explicitly agreed and recorded
  • Anonymize where you can: 'customer A' works just as well as the real name
  • Know what's switched on: memory, connections to other systems and sharing GPTs
  • A human checks everything that goes out

No AI policy yet? Then that's the first piece of homework after the training. How to put one together is explained in writing an AI policy. More on privacy and the GDPR in ChatGPT and the GDPR.

05 / How it works

From licence to a team that uses it.

  1. 01

    Licences and settings

    Beforehand

Does everyone have a business account, and are the right settings switched on? We sort that out with your administrator, so nobody loses the first twenty minutes to logging in.

  2. 02

    Collecting examples

    The week before

A few real pieces of work per department: an email, a quote, a report. We anonymize confidential material or replace it with practice material.

  3. 03

    The workshop

    3 to 4 hours

Prompting, building your own GPT, working with projects and documents, and the ground rules. Everyone goes home with something that works.

  4. 04

    Afterwards

    The same week

The GPTs stay in your workspace. And the list of opportunities is the basis for the AI Quick Scan, if you want to go further.

And then?

A GPT that knows your house style is phase two. A workflow that does the work itself is phase three.

ChatGPT makes your team faster. The real money is in processes where nobody has to retype anything anymore. After the training, the AI Quick Scan (€ 6,000) calculates which processes those are, and in the AI Partnership we build them.

07 / Questions

Frequently asked questions about ChatGPT training.

What does ChatGPT training for businesses cost?

At NinA AI, a hands-on ChatGPT workshop costs € 4,500 per half day, excluding VAT, for a group of ideally 6 to 15 participants. If you want to bring a large group along in one go, a talk on ChatGPT and AI costs € 2,450. Preparation and travel within the Netherlands are included. You buy the ChatGPT licences themselves from OpenAI.

What do employees learn in a ChatGPT workshop?

Better prompting on their own work, building their own GPT with your house style and knowledge, working with projects, PDFs and Excel, having research done with sources, checking output and handling company data safely. Everyone works on their own laptop with real examples.

Do we need ChatGPT Business for the training?

It's strongly recommended. In a business workspace you can share GPTs with each other, one person manages the accounts and conversations aren't used to train models by default. If you still work with personal accounts, we practise with non-confidential material and discuss the switch.

What's the difference between ChatGPT Team and ChatGPT Business?

None, apart from the name. OpenAI renamed ChatGPT Team to ChatGPT Business at the end of August 2025. Features, limits and the commitment that workspace data isn't used for training by default stayed the same. Existing contracts simply continued.

Is ChatGPT safe for company data?

With a business licence, a data processing agreement and clear agreements, it can be used responsibly. With ChatGPT Business and Enterprise, workspace data isn't used for training by default. Since February 2025, OpenAI has offered European data storage for new ChatGPT Enterprise and Edu workspaces. On top of that, agree which data must not go in and check what goes out.

Can we build our own GPTs in the workshop?

Yes, that's often the highlight. Everyone builds a GPT for a task of their own, for example customer emails in the right tone or a first draft of a quote. In a business workspace you then share it with your team. What a GPT doesn't do is work independently in your systems; for that you build a workflow.

ChatGPT or Microsoft Copilot: which should we choose?

If your organization works entirely in Microsoft 365, Copilot connects most easily to email, Teams and files. ChatGPT is broadly applicable and strong in custom GPTs. Many organizations use both. We train in the tool you have; for the choice itself, see our comparison of ChatGPT, Copilot and Claude.

Does ChatGPT training count towards AI literacy?

Yes, training on the tool your people actually use is a good measure for the AI literacy that Article 4 of the AI Act asks for. Record who attended and what was covered. According to the European Commission, a certificate isn't mandatory. This is an explanation, not legal advice.

Can the ChatGPT workshop be done online?

It can, but we recommend on site. Hands-on works better when we can look over shoulders and help straight away when someone gets stuck. A talk on ChatGPT and AI works fine online.
