AI business case calculator (Excel, Dutch)
Work out per process step what AI delivers, with the rules of the APO method: three numbers per step, three scenarios, at most 90% per step, the 40% brake and the payback time. In Dutch.
A business case doesn't start with AI, but with what a process costs today. This spreadsheet does the maths: enter per step how long it takes, with how many people and how often, and estimate what AI can take over. You see the savings in three scenarios, the payback time and whether it clears the 2x threshold.
How to use it
- 1
Pick one process and split it into steps
One row per step. The example row shows the format: 40 minutes, 2 people, 80 times a month is € 57,600 a year at € 45 per hour.
- 2
Estimate what AI takes over
Cautious and ambitious; the expected scenario is the middle. Never more than 90% per step.
- 3
Check the preconditions
Is the information digital and are there examples of good work? If not, reliability is capped at 40%: foundations first.
- 4
Enter the investment
The sheet shows the payback time and whether the expected savings are at least twice the investment.

Each step is explained in the article on the AI business case (in Dutch). Want it calculated with your own processes, including the build hours per opportunity? That's what we do in the AI Quick Scan.
